Privacy statement
This privacy statement is intended for visitors to this website and (potential) participants in the conference. It provides you with information about how we handle your personal data. Who we are Healthcare Clowning International Meeting (HCIM) is a conference over several days for healthcare clowns, for their colleagues involved in fundraising, relationship management, administration and organisation, and also for professionals from healthcare and other organisations. Every conference is organised by a different clown organisation around the world. Stichting CliniClowns Nederland (CliniClowns Netherlands Foundation) is organising the HCIM in 2022. CliniClowns respects your privacy Stichting CliniClowns Nederland respects the privacy of (potential) participants in the conference and visitors to the website. We only process the personal data required for organising the conference, such as informing interested parties and inviting and welcoming participants. Apart from the purposes described in detail below, we do not process any personal data, nor do we sell it for commercial purposes. Your personal data is handled and safeguarded with the greatest possible care. We comply with the requirements stipulated by the General Data Protection Regulation (GDPR) and - because we are a Dutch charity - with the code of conduct of Goede Doelen Nederland (Association of Dutch Charities). We also have the Recognition quality mark from the CBF (charities regulator), and as a member of the sector association for Data Marketing (DDMA) we comply with this organisation’s guidelines and code of conduct. What data do we record? When you register to be informed about the organisation of the conference you give us permission to record the following data for this purpose:

If you submit an abstract, your proposal may also contain other personal data alongside the data listed above, such as photographs or videos added by you or other information. If you participate in a survey, your answers are anonymous. They will only be used to refine the program of HCIM. With this information we will get more insight into the motivations of the (potential) participants. What do we do with your data? If you have indicated by e-mail that you want to be informed about the organisation of the conference, you will receive an e-mail confirmation of this. You will then regularly receive e-mails with news and updates about the progress and implementation of the organisation of the conference. After registering to participate in the conference (in person or online) we will use your personal data:
If you have submitted an abstract, each abstract will be reviewed by 3 to 5 experts (colleagues from other clown organisations) and the chair of the relevant topic. These professionals will obviously treat your data as confidential. Your proposal or personal data contained therein will only be used for the assessment for the conference and not for other purposes, unless with your explicit permission. Will third parties also receive this data? We never provide data to third parties for commercial purposes. However, we are using a number of carefully selected parties (processors) to organise the conference. For this conference two parties are helping us organise the conference and build the website. We are concluding agreements with these processors in order to ensure that they only handle your data in accordance with our instructions and the privacy regulations. What should you do if you no longer wish to receive any more e-mails or be informed about the next conference? You can unsubscribe from the e-mails and/or let us know that you would rather we didn’t pass your information on to the organisers of the next conference via the e-mail address HCIM2021@cliniclowns.nl. You can also reply to our e-mail. How long will your data be retained? If you have registered to receive news by e-mail, we will store your name and e-mail address until you unsubscribe from this (retract your permission). If you receive the newsletter but do not register for our conference we will retain your name and e-mail address for as long as we send newsletters. If you are a participant in the conference we will retain your personal data for up to 2 years after the date of the conference. The next organiser of this conference will want to send you an announcement when the new date is known. For this reason, your name and e-mail address will be passed on to the new organiser unless you have objected to this. We will retain submitted abstracts until the date of the conference, and these will never be passed to third parties except for assessment. Organisations that help us to organise and execute the conference (including the processors) will not retain the personal data for longer than is strictly necessary, including the Dutch statutory retention periods or any agreement made with us about the retention period. In no case will the processor retain the personal data for longer than has been agreed with us in the agreement. What are your rights? Fully in accordance with the GDPR privacy legislation, you can send us a request to access or correct your data. You can also object to the processing of your data for direct marketing. In some cases you can ask us to have your data deleted. Deletion is only possible insofar as we can still comply with our statutory obligations, such as the Dutch statutory retention periods for financial data.
