Your registration

How can I register for HCIM2022?
You can go to: registration.hcim2022.com.  
If you don’t have an account yet, you need to create one. Then follow the steps necessary to register.

Can I register more than one person at a time?
When you register as a company, you can add more persons.
The registration portal gives you the option to register as a company and register your colleagues. First you add all colleagues, click on SAVE. Than you van go to “Buy tickets” and buy all the necessary tickets.
Until when can I register?
You can register until April 1, 2022. After that we will only accept on-site registrations or you can send an e-mail to info@hcim2021.com. From April 15, 2022 ticket sale is closed.

When can I give my choice for the parallel sessions?
You can make your choice for the parallel sessions starting 13th January 2022.
If you already have bought a ticket, you will automatically be notified.

How much does a ticket cost?
3 days at € 295,- (€ 356,95 incl. 21% VAT)
1 day ticket at € 175,- (€ 211,75 incl. 21% VAT)
Festive Dinner ticket at € 58,- (€ 70,18 incl. 21% VAT)

Can I get a discount on the ticket?
The tickets of HCIM have a fixed price (discount is not possible). We ask everyone who attends at least for one day to buy a ticket. This also applies to people who make an active contribution during HCIM (as, for example, a facilitator/presenter of a parallel session who is also present for the rest of the day). With this we are in line with previous HCIM editions. HCIM is a congress that is organised each time voluntarily by a different clowns organisation. The necessary budget for the organisation has to be raised by the organisation itself. Despite the increased costs over the years, the double program (live and online) being organised and the uncertainty due to the corona pandemic, we want to be able to facilitate everyone again this year. This is only possible if we all contribute financially and make no exceptions.

How can I pay for my ticket?
You can pay with iDeal, Credit Card, PayPal and Bancontact.

​​Can I also pay by invoice?
It is not possible to pay by invoice. When your registration is completed, you must pay the outstanding fee immediately. After payment you will receive an invoice confirming that you have made the payment.

Is the VAT deductible?
It depends on the country you live in. Each participant is responsible for his or her own VAT deduction.

​I am giving a workshop/presentation, am I eligible for a discount on admission?
Although you are presenting a workshop or participating in a panel, you must pay your registration fee for that day.

My ticket(s)

When and how will I receive my participation ticket?
When you have registered you receive your entrance ticket through the e-mail address you gave during your registration. Your confirmation has the subject: confirmation registration HCIM 2022 and comes from: info@hcim2021.com
You can also find your personal program and entrance ticket in the Meeting app, about which we will inform you later.

What if I did not receive my participation ticket?
Please send an e-mail to: info@hcim2021.com
​What if I lost my participation ticket?
You do not have to worry about that. You can send an e-mail to info@hcim2021.com and we will provide you with a new one.

Is my participation certificate transferable?
No, your participation is not transferable. It is personal.
 

Notify me of a change

I would like to make a change to my personal details. How can I do this?
You can login at: registration.hcim2022.com, go to your registration and make the changes you want. You will receive a new confirmation with the changes.
How can I change my choice of parallel session?
You can login at: registration.hcim2021.com, go to your registration and make the changes you want. You will receive a new confirmation with the changes.


Cancellation

Organising a session

Can I cancel my registration (free of charge)?
  • Cancellations received before or on 1 March 2022 will be fully refunded. 
  • Cancellations received after 1 March 2022 but before or on 1 April 2022 will be refunded 50% of the registration fee.
  • No refund will be made for cancellations received after 1 april 2022 or registered participants who fail to attend.
​Can I host a session during HCIM?
It is no longer possible to host a session. The call for abstracts for HCIM is closed. However, you can still submit your story. You can see how to do this here.

COVID-19
We are pleased to announce that thanks to further COVID-19 easing in The Netherlands from March 23, we are confident HCIM will take place. We fully understand that you have questions about HCIM and COVID-19. It is important to us that you feel safe to come. We are therefore closely following the developments regarding COVID-19 and will take care of all needed regulations to ensure that HCIM takes place in a safe manner for everyone.

What are the basic corona recommendations in the Netherlands?
Although much is possible again in the Netherlands as of March 23, the corona virus is not gone. So it is advisable for everyone to keep following the recommendations that have proven effective in limiting the spread of the virus: 
Washing your hands, coughing and sneezing into your elbow, not shaking hands, keeping your distance and wearing a face mask in crowded places, making sure there is plenty of fresh air, self-testing regularly, getting tested when you have symptoms, getting vaccinated and getting a booster shot.
What are the regulations during HCIM?
Safety of all participants is important to us. To ensure this, we make sure that there is a good flow of fresh air indoors.
And it would be very appreciated if everyone would be respectful of each other by:
  • Staying away if you have symptoms and get tested as soon as possible.
  • Washing your hands often and well.
  • Coughing and sneezing into your elbow.
  • Keeping your distance if the other person feels more comfortable doing so.
When do I need to get tested or self-quarantaine?
It depends on your situation. Check here for more information to know if you need to be quarantined and when to get tested. Even if you have been vaccinated or recovered.
Who pays for the testing?
Any costs you make for a self-test, negative PCR or antigen to enter the Netherlands are at your own expense (or at your organisation). 
What do I need to know about visting the horeca and shopping?
As of February 25, stores, restaurants, cafes, large night clubs and discotheques can open up without limitations. 
What do I need to know if I want to travel within The Netherlands? 
The requirement to wear a face mask on public transport will be lifted as of Wednesday 23 March. In busy places, you can protect yourself and others by continuing to wear a face mask.
Face masks must still be worn on aircraft and at airports beyond the security checkpoint.


What do I need to be prepared for if I want to travel to the Netherlands?
Before you start your trip to the Netherlands, always check the current regulations that apply to your situation.

  • Travelling from any European Union (EU) or Schengen country, Andorra, the Faroe Islands, Greenland, Monaco, San Marino, Svalbard (Spitsbergen), Vatican City or the Caribbean part of the Kingdom of the Netherlands.
  • People travelling from all other countries.
  • On this site (in English, Spanish and Dutch) you can fill in a checklist from which country you are travelling to the Netherlands. You will immediately see the conditions that you need to fulfil.

Can I use the European Digital COVID Certificate (DCC) to travel to the Netherlands?
European countries have agreed that there should be 1 European system for corona certificates. That is the EU Digital Corona Certificate (EU DCC). In the Netherlands, the EU DCC goes via CoronaCheck app. Since July 1, you can use the (European) Digital COVID Certificate (DCC) to travel into the Netherlands. 
What do I need to know if I want to stay in a hotel during HCIM?
Fortunately, you can also book a stay in the Netherlands again. Hotels are open according to their regular opening hours, including possible restaurant, catering, spa and roomservice options. 
​Always inquire in advance about the applicable cancellation policy. And about the applicable regulations at the location in question. These may in fact differ from one provider to another.

​Can I book a ticket for dinner only?
You can only book a dinner ticket when you have registered for HCIM. It is not possible to buy a separate ticket for dinner only.
